Using a single rental company is usually the most cost effective way to have a tented wedding. Make sure any quote you receive includes delivery, setup and take down costs. Some companies will not automatically add setup and take down in their quote (see: choosing a rental company).
If your comparing quotes from company to company be sure you compare all costs accurately. Some rental companies have lower grade tents and equipment or quote using smaller tents by cramming more guests per table. Also, important details such as delivery and setup provisions may be left out. If information like the access to you property is left out of a quote and your site is limited you could get hit with a large last minute labor charge. Vendors such as decorators and florists, may give you a price brake if they can come in on a Friday instead of a Saturday morning. Entertainers such a DJ’s or band are similar priced whether in a tent or a banquet facility. They may require you to rent a stage or platform to protect their equipment.
Permitting can ad some cost to the tent rental. Most towns simply require a certificate of fire resistance of the tent fabric and a permit fee. Most rental companies will give you a copy of the fire certificate at no charge. Then its just a matter of filing out a permit and paying a small permit fee. Permit fees are usually between 25.00 to 100.00.
You may require the addition of a portable restroom. Basic units can be rented for as low as 150.00 dollars. High end portable restroom trailers can cost as much as 2 to 3 thousand dollars.
